Short answer: there are three kinds of tools that book appointments automatically. Booking-link tools (Calendly, Cal.com, Acuity, Square Appointments) let customers pick a time themselves. AI phone agents (Smith.ai, Rosie, Goodcall, My AI Front Desk, Dapta) answer your phone and book the appointment during the call. Voice platforms (Retell AI, Vapi, Bland AI) let a developer build an agent that books with your own rules. Pick based on where your bookings come from: if most come from your website, a booking link is enough. If most come from phone calls, you need an AI phone agent.
Every price below was checked on each vendor's own pricing page on November 3, 2026. Prices change often, so confirm before you buy. Disclosure: we build custom voice agents, often on Retell AI. We appear only in the custom-build row, and nobody paid to be listed.
These put a scheduling page in front of your calendar. They are cheap and reliable, and they work well when the customer is already on your website or in an email thread. What they cannot do is answer the phone.
| Tool | Starting price | AI or automated booking | Books by phone? | Best for |
|---|---|---|---|---|
| Calendly | Free plan; paid from $10 per seat/month | Booking links and routing; an AI email scheduling assistant (beta) on upper tiers | No | Solo pros and sales teams who share a link |
| Cal.com | Free for 1 user; Teams $12 per user/month (billed yearly) | Cal.ai phone agent at $0.29/min, triggered by workflows | Outbound, via Cal.ai | Tech-comfortable teams that want a free link plus optional AI calls |
| Acuity Scheduling | From $16/month (billed annually) | AI Booking Assistant (a chat assistant) on the Premium plan | No | Coaches, therapists, salons and other solo service pros |
| Square Appointments | Free for 1 location; paid from $29 per location/month | Square Assistant confirms, reschedules and cancels; no native AI phone booking | Only through third-party apps | Salons and spas already on Square |
Reclaim.ai and Motion are often listed in these roundups, but they plan your own calendar rather than taking bookings from customers.
These answer your business line, ask the caller what they need, and put the appointment on your calendar before they hang up. For any business where the phone is the main way new customers reach you, this is the category that matters.
| Tool | Starting price | How you are billed | Human backup | Best for |
|---|---|---|---|---|
| Smith.ai AI Receptionist | Free for 25 calls/month; Pro $150/month for 75 calls | Per call ($3.00 extra on Free) | Transfers to Smith.ai live receptionists are offered | Law firms, agencies and home services that want a human fallback |
| Rosie | $49/month for 250 minutes | Per minute | Transfers to your team on Scale ($149) and up | Home services; direct calendar booking starts on the $149 Scale plan |
| Goodcall | $79/month for 100 unique callers | Per unique caller ($0.79 each after) | Not described | Local businesses with many short repeat calls |
| My AI Front Desk | $99/month ($79 billed annually) for 200 minutes | Per minute ($0.25 after) | Call transfer to your team | Small businesses that want voice, text and chat in one |
| Dapta | Pro $99/month (includes 100,000 credits) | Credits; an answered call uses about $0.33/min | Not described | Businesses that want no-code voice and chat agents |
Synthflow, often listed in older roundups, now sells annual enterprise contracts only and no longer has a self-serve plan.
When booking depends on rules an app cannot follow, such as checking insurance, confirming a service area, choosing between several calendars or writing into your CRM, the agent has to be built. These platforms charge by the minute, and someone has to do the building.
| Platform | Price | What you need | Best for |
|---|---|---|---|
| Retell AI | Pay as you go, about $0.07 to $0.31/min; $10 free credit | A developer or agency to build the agent and its booking logic | Custom agents that book into real calendars and CRMs |
| Vapi | $0.05/min hosting plus model and phone costs; $5 free credit | A developer | Teams building their own voice product |
| Bland AI | $0.14/min talk time on the Start plan | A developer; phone costs billed separately | High-volume outbound calling |
| The AI Agency USA (custom build) | Starter builds from about $2,500 plus usage | Nothing; we build, test and maintain it | Booking with rules: insurance, service areas, multiple calendars, CRM sync |
Here is a worked example with simple numbers. Say you get 300 calls a month and they average two minutes. On a per-minute plan at $0.25 a minute that is 600 minutes, or about $150 a month. On a per-call plan at $2.00 a call it is about $600. The same business can see a 4x difference depending on how a vendor counts, so run your own volume through each pricing page before deciding.
Then compare that against what an unanswered call costs you. Our missed-call calculator does the math for your numbers, and our AI receptionist cost guide compares apps, answering services and a hired receptionist.
Most small businesses should start with an off-the-shelf tool. A custom build makes sense when a missed or mis-booked appointment is expensive, when booking needs your rules, or when the agent has to work inside software the apps do not connect to. That is the work we do: AI appointment scheduling built around your calendar, intake questions and routing. Starter builds begin around $2,500 plus usage.
